This Privacy Policy explains how BadFish Guild Portal ("we", "us", or "our") collects, uses, stores, and protects your information when you access and use our website and integrated Discord authentication bot/services.

1. Information We Collect

When you interact with the BadFish Guild Portal, we collect limited personal and account data required for portal functionality:

A. Information Received via Discord OAuth2
When you log in via Discord, we collect account details authorized through the identify and guilds scopes:

  • Discord User ID (discordId)
  • Discord Username & Avatar (username, avatar)
  • Guild Membership Status (to confirm active membership in The BadFish Armada Discord server)

B. Portal & In-Game Profile Data
To manage guild activities and rosters, we store application-specific data created during your use of the portal:

  • Guild Permissions & Roles (e.g., Admin, Officer, Member)
  • Game & Class Preferences (e.g., character class, combat roles, selected game registrations)
  • DKP / Loot Balances (points accrued or spent on guild activities)
  • Event Attendance History (raid or event sign-ups and attendance logs)

2. How We Use Your Information

We use the information collected solely for the operation of the guild portal and Discord server integration:

  • Authentication & Access Control: Validating that you are a member of The BadFish Armada before granting access to portal features.
  • Guild Management: Tracking guild event signups, managing roster roles, and distributing DKP/loot points.
  • Discord Server Synchronization: Automatically assigning or removing game-specific Discord roles based on your registration preferences.
  • Analytics: Displaying aggregated, non-personally identifiable community stats (e.g., total members, total events hosted).

3. Cookies and Session Data

We use a secure, HTTP-only session cookie (badfish_session) to keep you logged in while navigating the portal. This cookie expires automatically after 7 days or upon logging out manually via the portal. We do not use tracking cookies or third-party advertising cookies.

4. Data Storage and Security

  • Database Storage: User records and activity logs are securely stored in our backend database (Cloudflare D1).
  • API Credentials: We do not store your Discord password or personal Discord tokens.
  • Security Practices: Access to database records is strictly limited to authenticated system functions and authorized administrators.

5. Data Sharing and Disclosure

We do not sell, rent, trade, or share your personal information with third parties. Your data is used exclusively within The BadFish Armada ecosystem and Discord's API framework.

6. Data Retention and Deletion Rights

You have full control over your stored data:

  • Account Deletion: You may request complete deletion of your portal record, event logs, and associated DKP history at any time.
  • How to Request Deletion: Contact an administrator on Discord (@thefolz) or message a server Officer. Upon request, your user record will be permanently purged from our database.
  • Leaving the Guild: If you leave or are removed from The BadFish Armada Discord server, your portal access will be revoked automatically.

7. Third-Party Links & Services

Our authentication relies on Discord OAuth2. Your use of Discord services remains subject to Discord's Privacy Policy and Discord's Terms of Service.
